Executive Assistant to the President / CEO

Major Functions:

Samaritan Daytop Village is a prestigious comprehensive Human Services agency with over 40 locations across New York City and beyond. We offer a rich array of programs including treatment for substance abuse, innovative services for veterans and programs for homeless individuals, women and children, seniors and families.

The qualified individual needs to be able to provide a high quality confidential administrative support to the President/CEO including the smooth execution of all duties of his office. Organizes daily calendar, schedules meetings and coordinates events to ensure all obligations are met; handles travel arrangements and provides itinerary; responds to internal and external inquiries; prepares correspondence for the President’s signature as well as initiate high level of correspondence on his behalf; develops and edits complex business documents from limited information and with minimal guidance; prepares agendas, minutes and other materials; and ensures President/CEO is apprised of all relevant issues that are pending his review. Acts as a liaison to the Boards of Samaritan Daytop Village and Samaritan Daytop Foundation by providing administrative, logistical and technical support, requiring regular communication with approximately 30 board members and coordinates quarterly board meetings. This requires working closely with the Executive Team and Board Chairs to develop an agenda, ensure follow-up and addressing any issues that may arise.

Specific Duties and Responsibilities:

  • Organize daily calendar, schedules meetings and coordinates events to ensure all obligations are met.

  • Handles travel arrangements and provides itinerary.

  • Respond to internal and external inquiries.

  • Prepares correspondence for the President’s signature as well as initiatea  high level of correspondence on his behalf.

  • Develops and edits complex business documents from limited information and with minimal guidance.

  • Prepares agendas, minutes and other materials; and ensures President/CEO is apprised of all relevant issues that are pending his review.

  • Acts as a liaison to the Board of Directors by providing administrative, logistical and technical support, requiring regular communication with approximately 30 board members and coordinating quarterly board meetings.

  • Works closely with the Executive Team and Board Chairs to develop an agenda, ensure follow-up and address any issues that may arise.
     

Job Requirements:

  • Individual must possess excellent administrative, analytical, organizational, communication and writing skills.

  • Ability to interface effectively with all levels of Executive Management, government agencies, local politicians, donors and Board members.

  • Handle confidential matters and information

  • Excellent computer skills i.e. Microsoft Word, Excel and Power Point and able to learn other software as required.

  • Ability to work independently with sound judgment; and ability to manage multiple projects of varying complexity and scope with ease.

 

Qualifications:

  • High School Diploma or equivalent
  • Minimum of 3 years work experience in Executive Administration.
  • Advanced keyboard skills and computer literacy (Microsoft, word, powerpoint, Excel, and Outlook).
